Task 1.1 Project Initiation and Planning (Leading: FRC, Participating: All)
.
This task will deal with the following: CODEVELOP-GT/0322 – PART B – TECHNICAL ANNEX 11 ▪ Definition of a more detailed project plan in terms of short term (six month) tasks with assigned responsibilities and deadlines. This project plan will be the basis for project progress monitoring by the Project Coordinator (PC) and will be revised and approved every six months by the Project Steering Committee (PSC). ▪ Organisation of the kick-off meeting and securing partner consensus on development of vision, mission and strategic plan for development of Green-HIT Platform. At this meeting, all foreseen management teams/bodies will be formalized and assume office and their responsibilities.

Task 1.2 Project Management, Coordination and Monitoring (Leading: FRC, Participating: All)
.
This task deals with project coordination activities. The main goal is to manage the overall operation of the project and to ensure effective communication between partners at all times. This task also deals with ensuring that all the milestones of the project are achieved on schedule and all deliverables are delivered timely. The FRC experienced Project Coordinator, Dr A. Constantinides, will lead this task assisted by a Management Support Team at FRC (see Section 5.1). On a day‐to‐day basis, the general animation and coordination of the consortium will be assured through implementation of the following sub-tasks: ▪ Organization of regular meetings and conference calls between partners involved in different work packages. Organization of the bi-annual and final meetings of the Project Steering Committee in order to track progress on the project, report on deviations from plan (if applicable), agree on corrective actions (if necessary) and take decisions on matters at hand. ▪ Follow up with WP leaders and partners to ensure accurate and timely task reporting in line with the work plan of the project and the quality assurance process as outlined in TASK 1.3. ▪ Monitoring of the critical risks outlined in Table 4 and others that may arise and take effective mitigation measures, where necessary in coordination with the Project Steering Committee. ▪ Effective handling of potential IPR, confidentiality and any other legal and administration issues in coordination with the Project Steering Committee. ▪ Overall effective management of the Consortium Agreement that will be formulated prior to signing a Grant Agreement with RPF, and shall include all aspects of work-plan management, knowledge management and IPR handling, conflict resolution, financial management, internal reporting, etc.

Task 1.3 Research Quality Management (Leading: CYRIC, Participating: All)

The main objective of the task is to ensure that the outcome of the project meets the technical objectives, challenges and the quality objectives set in the work description. Quality Management is the joint responsibility of all partners. A Quality Assurance Plan (QAP) will be developed by the Quality Manager (CYRIC) and will incorporate QA procedures to be applied to all internal and external services and deliverables. The QAP will include instructions, procedures, checklists, deliverable report formats and processes for internal peer review of deliverables, as well as an effective on-line document management system that will be set up at the start of the project.

Task 1.4 Financial and Logistics Administration (Leading: FRC, Participating: All)

The Project Manager (FRC – A. Onoufriou) will cooperate with representatives from each partner (mainly accounting officers) for monitoring, collecting, properly filing and reporting budget utilization information on predefined report forms. The PM will review the reports in terms of validity and consolidate them into the required financial reports (D1.2). If necessary, the PM will suggest corrective measures to each beneficiary prior to final reporting. On the basis of the approved budget, the current budget utilization and the project plan, the PM will assist and advise the PC, in terms of project financial management, planning, budgeting, cost monitoring & accounting, & administration of the RPF funding as per the terms of the Consortium Agreement. The task will also handle any budgetary modifications resulting from changes to the description of work.
